Front Desk Coordinator

We are seeking a reliable, friendly, and proactive Front Desk Coordinator to join our team. This role is essential to the daily flow of the spa and the client experience. The ideal candidate is personable, organized, and able to use good judgment while balancing client-facing and operational tasks.

This position works closely with the owner and service providers and is expected to handle routine responsibilities independently while knowing when to escalate questions or concerns.
 

Key Responsibilities:

  • Greet and check in guests warmly and professionally, both in person and by phone

  • Answer phones, texts, emails, and social media inquiries clearly and courteously

  • Schedule appointments accurately and manage confirmations, check-ins, and check-outs using booking software

  • Support smooth daily spa flow by anticipating needs and addressing issues as they arise

  • Maintain a clean, organized, and welcoming front desk and waiting area

  • Assist with intake forms, client organization, and basic administrative tasks

  • Sterilize implements, run the autoclave, and assist with post-service cleanup

  • Restock refreshments, amenities, and supplies as needed

  • Assist with inventory and ordering from established lists

  • Maintain retail displays and light merchandising

  • Perform light cleaning tasks including vacuuming, mopping, wiping surfaces, and taking out trash

  • Assist with opening and closing duties

  • Follow all spa protocols and help maintain a calm, professional environment

  • Take initiative — if something needs to be done, you do it or find the appropriate solution

Qualifications:

  • Prior experience in customer service, hospitality, or a spa/salon setting preferred

  • Strong communication skills (verbal, written, and digital)

  • Comfortable learning and using booking and scheduling software

  • Ability to multitask, stay organized, and remain calm in a busy environment

  • Good judgment, common sense, and a proactive mindset

  • Professional appearance and positive attitude

  • Saturday availability required

Position Details:

  • Job Type: Part-Time or Full-Time

  • $17–$19 per hour upon successful completion of training.

  • This position includes a paid training period of $15.50 per hour.
